SENIOR ADMINISTRATIVE ASSISTANT III & IV
GENERAL STATEMENT OF DUTIES
Performs confidential and specialized secretarial, clerical, and administrative duties as instructed by the Director of Libraries and/or Assistant Director.
DISTINGUISHING FEATURES OF THE CLASS
An employee in this class performs a wide variety of duties and assumes responsibility for numerous records, activities, and other functions of the Administrative Division. Complexity of the job is directly correlated with experience and the ability to assimilate and retain a complex and varied collection of policies and procedures. This employee is evaluated through observations and conferences and reports directly to the Director of Libraries or the Assistant Director.
EXAMPLES OF WORK
Prepares memos, letters, reports, and other documents, often of a confidential nature.
Organizes and maintains a variety of files and computerized databases. Performs specific and diversified administrative functions as assigned, such as maintaining inventory control records and preparing information for public distribution such as flyers and press releases. Performs specific support functions as assigned, such as counting money and preparing bank deposits. Compiles data and prepares statistical reports to assist the Director of Libraries or the Assistant Director in such accounting areas as budgeting or purchasing.
Handles special projects as assigned by the administration.
KNOWLEDGE, SKILLS, AND ABILITIES
Excellent judgment in executing advanced secretarial responsibilities in an accurate and confidential manner. Ability to perform varied clerical duties, such as creating documents, brochures, or letters with general instruction. Talent in dealing with the public and with officials and suppliers in a pleasant and businesslike manner. Considerable knowledge of the policies, operations, and procedures of the Library System. Great skill in performing clerical duties, such as data entry, filing, and working with word processing, desktop publishing, and spread-sheet databases in a very accurate manner. Strong familiarity with standard rules of grammar, punctuation, and spelling. Ability to maintain a professional attitude in high-pressure situations.
DESIRABLE EXPERIENCE AND TRAINING
A two (2) year associate degree and/or the equivalent with five (5) years of experience in general office work is required. Considerable experience in progressively responsible clerical and secretarial duties is desired.
Must be eligible for a valid North Carolina driver’s license.
